At Will Employment Position Title:  Administrative Assistant

Pay Range: $17-25/hour

Part time up to 30 hours/week

Work Location: Hybrid (office in Livonia and remote)

Principal Duties and Responsibilities

  •  Makes arrangements, sets up, and attends monthly Board meetings, takes minutes, composes and types the minutes and other follow up correspondence
  • Process mail, answer phones, and maintain the office schedule/calendar
  • Bank deposits, assist bookkeeper with invoices, dues, and track CWW Firefighter Testing program
  • Manages office supplies, postage, oversees office equipment
  • File organization/management: organizes and files reports, oversight of CWW general email account, types letters, prepares monthly board packets, agendas, labels, and other   clerical tasks as needed
  • Creates and maintains various mailing and email distribution lists
  • Maintains board packet books and board packet agenda books for CWW permanent records
  • Assists in preparing annual Municipal Compensation Report using Microsoft Access (Salary Survey)
  • Works with website host
  • Updates website as needed
  • Responsible for weekly social media postings
  • Attends local government meetings when needed
  • Available for occasional after-hours events
  • Undertakes and assumes whatever other duties the Director and Assistant Director shall assign from time to

Requirements:

  •  Must represent the Conference in a professional manner and work well with the public
  • Ability to work efficiently, independently, and to manage confidential information
  • Ability to work both in office and remote with minor day to day supervision
  • Ability to be bonded and have a minimum of three years clerical or administrative experience
  • Ability to work as a member of a team in a small office including job sharing duties with colleagues
  • Self-starter
  • Must have effective verbal and written communication skills
  • Experience with MS Word, Excel, Outlook, PowerPoint, Access, and ability to modify website
  • Working knowledge of government practices and /or services a plus
  • Has a basic understanding of the Freedom of Information Act and the Open Meetings Act
